The following is the refund/cancellation policy for all tours booked through and operated by Wandering Earl Tours:
DEPOSITS
Unless otherwise stated on the tour booking page, the following applies to all deposits paid to reserve a spot on a Wandering Earl Tour:
- In order to reserve a spot on a tour, a deposit is required (the amount of which is mentioned on each tour booking page).
- Once paid, the deposit is refundable for the period of time listed on the tour page or on the booking page for each tour. All deposit refund amounts will equal the total deposit paid minus a 3% transaction fee.
- After the refund period ends, the deposit is non-refundable.
*All deposit refunds, if applicable, will be returned to the participant via the same method the deposit was paid, minus a 3% transaction fee. It may take up to 10 business days from the date of the request for the deposit refund to be applied.
BALANCE PAYMENTS
Unless otherwise stated on the tour booking page or tour information documents sent out to tour participants who have paid a deposit, the following applies to all balance payments (the difference between the total tour cost and the deposit):
- Balance payments are due 90 days before the tour start date
- If a balance payment is more than 10 days late, a 6% late fee will be added on to the balance
- If the full balance payment is not paid 70 days before the tour start date, Wandering Earl Tours has the right to cancel your booking without refund for any amount already paid
- Cancellations made between 60 – 89 days before the tour start date: 50% refund of the balance amount, minus a 3% transaction fee (the deposit is not included in the refund)
- Cancellations made 59 days or less before the tour start date: 0% refund of the balance amount
*All balance payment refunds, if applicable, will be returned to the participant via the same method the payment was made, minus a 3% transaction fee. It may take up to 10 business days from the date of the request for the balance payment refund to be applied.
ADDITIONAL SERVICES
If Wandering Earl Tours arranges any additional services for a participant in connection with a tour – pre or post trip accommodation, pre or post trip excursions, additional activities during the tour, etc. – amounts paid for these services will be considered non-refundable once paid.
IMPORTANT CONDITIONS
The following conditions also apply:
Cancelled / Postponed Tour by Wandering Earl Tours
- If Wandering Earl Tours makes the decision to cancel a tour due to any situation that we feel requires a trip to be cancelled (such as safety, not reaching the minimum number of participants, logistic issues, etc.), all participants are entitled to a 100% refund of both the deposit and the balance amount (if already paid). Wandering Earl Tours is not responsible for any other amount already paid by a participant related to the trip, including but not limited to, airfare, hotel bookings outside the trip dates, travel insurance, etc. A participant of a cancelled tour may also choose to apply the amount already paid to a new tour or a future tour offered by Wandering Earl Tours and may do so without any penalty. If a participant choose to transfer the amount paid to a future tour, the amount paid is no longer refundable.
- If a tour is postponed by Wandering Earl Tours, due to any situation that we feel requires a trip to be postponed, all participants may choose a 100% refund of both the deposit and the balance amount (if already paid) OR they may transfer any amount already paid to be applied to the new dates of the same tour or to another tour operated by Wandering Earl Tours. This decision must be made within 10 days of being notified by Wandering Earl Tours, via email, about the postponement. After 10 days, if no decision is made by the participant, Wandering Earl Tours will automatically apply any amount already paid to the new dates of the postponed tour.
- If a tour is cancelled or postponed by Wandering Earl Tours and a participant chooses to transfer the amount they have already paid to a new tour or to the new dates of the postponed tour, that amount already paid will be subject to the deposit and balance payment refund policies above. The date of deposit will remain the original date the deposit was paid. The tour start date will be the new start date of the postponed tour or the start date of the new tour chosen by the participant.
Cancelled Tour by a Participant
- If a participant decides not to participate in a tour, but the tour is still scheduled to operate as planned on the scheduled dates, the standard cancellation/refund policy at the top of this page will be applied.
- If a participant chooses to cancel their booking on a tour, and Wandering Earl Tours decides to offer a refund or allow any amount paid to be transferred to a future tour despite the standard cancellation policy, the following applies:
- If a participants chooses to have their payment transferred to a future tour, the amount paid will no longer be eligible for a refund.
- The participant has 1 year to use the credit. After 1 year, if not used, the credit is forfeited.
- If all participants of a tour request to cancel or postpone the trip they have booked due to any reason, but the tour is deemed to be safe and able to operate by Wandering Earl Tours on the original dates, it is at the full discretion of Wandering Earl Tours as to whether or not a refund is offered or whether the option to postpone the tour to a new set of dates is offered. If new dates are offered and a participant requests to have the amount already paid applied to the trip on these new dates, the amount transferred to the new dates will be subject to the deposit and balance payment refund policies above. The date of deposit will remain the original date the deposit was paid. The tour start date will be the new date of the postponed tour.
Once a Tour Begins
- Once a tour begins, we are unable to provide any refunds for any part of the tour. If a scheduled activity, meal or experience is not possible due to conditions beyond our control (such as weather, transportation delays, natural disasters and more), the cost associated with that activity will not be refunded.
- In the very rare event that a major change must be made to the itinerary and an entire destination (city, village or town) where the group planned to spend at least one night must be cancelled, we will attempt to replace that destination with a suitable alternative. Such changes are a part of travel from time to time and we are not able to provide any refunds as a result.
